An Introduction to Team Slides

This guide is for the Owner or Librarian and covers the two types: Slide Templates (editable copies your team customizes) and Shared Slides (one locked source of truth you edit once and it updates in every deck using it). You'll learn how to create both, organize them with folders, and exactly what your team sees when they add a slide.

Why Team Slides Matter

A Team Slide is one reusable slide your team can drop into any deck they're working on: an "About Us" slide, a customer case study, a security certifications slide, a pricing table, a standard legal disclaimer. Instead of digging through an old deck to copy that one good slide and paste it into a new one (and hoping it's the current version), your team opens Add Slide, picks the team slide, and it drops in already on-brand.

Think of it as the layer between a full template and a blank slide. A template gives your team a whole deck to start from. A blank slide gives them nothing. A Team Slide gives them the one piece they reach for over and over, ready to go.

Build a Team Slide for every slide your team rebuilds, and don't be shy about the count. This is the same mindset as templates, just at the slide level. If you notice people copy-pasting the same "About the Team," "Case Study," or "Disclaimer" slide from deck to deck, that's a Team Slide waiting to happen. There's no penalty for having a lot of them, and there's a real cost to having too few: every gap is a slide someone rebuilds or hunts down by hand. The goal is that nobody on your team ever recreates a slide they've already made once.

The Two Types of Team Slides

Both types live under Team Slides, but they behave very differently once a team member uses them.

  • Slide Template — an editable slide for your team to customize. When a team member adds one to their deck, they get their own copy. They can change the text, swap the images, edit anything, and it only affects their deck. Nothing flows back to you or to anyone else. Use these for slides where the layout is worth reusing but the content changes every time (a case study slide, a KPI slide, a section intro).
  • Shared Slide — a finished, uneditable slide that you manage centrally. When a team member adds one, the content is locked in their deck. They can't edit it. And here's the magic: if you (or another Librarian) update the master Shared Slide, every deck using it updates automatically. Use these for slides that must stay identical and current everywhere: legal disclaimers, security certifications, standard pricing, the official company boilerplate.

The quickest way to keep them straight: Slide Templates are starting points your team owns. Shared Slides are a single source of truth you own.

The red link icon is your tell. On the Team Slides page, every Shared Slide thumbnail carries a small red link icon in its corner. Slide Templates have no icon. Same grid, same menu, two behaviors, and that one icon is how you (and a sharp-eyed team member) know which is which at a glance.

To Note: Shared Slides are the "edit once, update everywhere" feature, and that's exactly why they're powerful and why they need care. Because every instance is linked to one master, updating the master ripples out to every deck using that slide instantly. That's a superpower for things like a disclaimer that changes once a year, and it's a liability if you treat a Shared Slide like a one-off. Rule of thumb: if the content should be identical and current across every deck, make it a Shared Slide. If people need to tweak it per deck, make it a Slide Template instead.

Before You Begin

Two quick checks:

  1. The right role: Only Owners and Librarians can create and manage Team Slides. To verify, open your Library, click the MY PRESENTATIONS dropdown at the top-left of the sidebar, and look for TEAM RESOURCES. If it's there, you're set. If not, an Owner will need to bump your role.

  2. Theme first: Every Team Slide you build inherits its colors, fonts, and styling from your Team Theme. If your Theme isn't finished, lock it in first so you're not rebuilding slides later.

What Your Team Will See

When a team member is building a deck and clicks + ADD SLIDE, then Team Slides, they see the same browser you do: All slides, Shared Slides, Slide Templates, and the FOLDERS you created, with the same ALL CONTENT and ALL TAGS filters. They can even select several slides at once and click ADD SELECTED SLIDES to drop them all in together.

The behavior matches the type. A Slide Template comes in fully editable. A Shared Slide comes in locked, with a small lock icon on the slide so they know it's centrally managed and can't be edited from inside their deck.

Your team doesn't even have to remember to check the Team Slides tab. When they use Search for a slide and type something like "bullet list" or "case study," Beautiful.ai shows the default Smart Slide options at the top, then surfaces two sections below: "Start from one of your team's Slide Templates" and "Use one of your team's Shared Slides."

So any Team Slide you've built shows up right next to the blank options, exactly when someone's looking for that kind of slide. The richer your library, the more often your team stumbles into the on-brand option without trying.
